These terms explain how bookings, pricing, payments and responsibilities work when you plan a trip with Raaika Tours & Treks. They apply to treks, tours and any custom itinerary arranged through us.
1. How a booking works
A booking begins as an inquiry: you share your dates, group size and travel style, and our Kathmandu team proposes a route and an indicative price. Nothing is confirmed at this stage — you are free to adjust the itinerary as many times as needed before committing.
A booking becomes confirmed once you accept a final itinerary and pay the agreed deposit. We will always send written confirmation (by email) of what has been booked, at what price, before asking for payment.
2. Pricing
Prices quoted during planning are indicative and depend on group size, travel season, hotel or lodge standard, domestic flights, guide language and any custom changes. The price is only fixed once we issue a final written quotation for your confirmed itinerary.
Prices are normally quoted in US Dollars. Where local costs (permits, domestic flights, fuel) change significantly between quotation and travel date, we will inform you before finalizing payment rather than after.
3. Payment
A deposit is required to confirm a booking, with the balance due before the trip begins. Exact deposit percentages and balance deadlines will be stated in your written quotation. Accepted payment methods (bank transfer, card payment, or other) will be confirmed with your itinerary.
Bank transfer charges, currency conversion fees and card processing fees are generally the responsibility of the traveler unless agreed otherwise in writing.
4. Your responsibilities as a traveler
You are responsible for holding a valid passport (with sufficient validity for Nepal entry), obtaining any required visa, and carrying appropriate travel insurance that covers trekking, medical evacuation and trip cancellation as relevant to your itinerary.
For trekking itineraries, you are responsible for disclosing any medical conditions that could affect your safety at altitude, and for following the guidance of your guide regarding pace, acclimatization and safety decisions on the trail.
5. Changes to the itinerary
Nepal travel can be affected by weather, road conditions, domestic flight delays, permit rules, and local circumstances beyond our control. Where a planned route becomes impractical or unsafe, our guides and office may adjust the itinerary, including altering the order of days, accommodation, or transport method, to keep the trip safe and workable.
Where such a change meaningfully reduces or increases the cost of the trip, we will discuss this with you as soon as practical.
6. Force majeure
Raaika Tours & Treks is not liable for delays, changes or cancellations caused by events beyond reasonable control, including but not limited to natural disasters, extreme weather, political instability, strikes, epidemic or pandemic restrictions, or government action. Where such events affect a confirmed trip, we will work with you in good faith on rescheduling or partial refunds where costs allow.
7. Liability
Raaika Tours & Treks arranges transport, accommodation, guiding and related services, many of which are provided by third parties (airlines, hotels, lodges, permit offices). While we select partners carefully, our liability is limited to arranging these services with reasonable care; we are not liable for the acts, omissions or default of independent third-party suppliers except where required by Nepali law.
8. Complaints
If something goes wrong during your trip, please raise it with your guide or our office as soon as possible so we can try to resolve it while you are still traveling. For any issue that remains unresolved after your trip, please contact us in writing within 30 days of your return.
9. Governing law
These terms are governed by the laws of Nepal. Any dispute that cannot be resolved directly will be subject to the jurisdiction of the courts of Kathmandu, Nepal.
